Bid Buddy is operated by Rebecca Stephens, a sole proprietor trading as Bid Buddy ("Bid Buddy", "we", "us", "our"). We are the data controller for the personal information you provide when you use the Service.

2. Information we collect

Account data — name, email address and login credentials you create at sign-up.
Job and estimate data — the line items, notes, templates and proposal drafts you enter or generate in the app.
Support messages — the content of any message you send us through the contact form, help chat or email.
Usage and device data — pages visited, features used, browser type, operating system, approximate location derived from IP address, and error logs collected automatically.
Billing data — subscription status, plan, and billing period. Full payment card details are collected and processed by Paddle, not by us.

3. How we use your information

Create and secure your account and provide the Service.
Generate estimates, proposals and AI responses you request.
Process subscriptions and handle customer support.
Detect fraud, abuse and security incidents.
Improve the product, fix bugs and understand how features are used.
Send you service-related messages (e.g. receipts, security alerts, changes to these terms).

4. Legal bases

Where required (e.g. UK/EEA users), we rely on the following legal bases:

Performance of a contract — to provide the Service you signed up for.
Legitimate interests — to keep the Service secure and to improve it.
Legal obligation — to comply with tax, accounting and other laws.
Consent — for optional communications, where required.

5. Who we share data with

We share personal data only with the categories of recipients below:

Paddle — our Merchant of Record and payment provider. Paddle handles checkout, billing, tax compliance, invoicing, subscription management, and refunds. See Paddle's Privacy Policy.
Cloud and infrastructure providers — hosting, database and email delivery vendors we use to run the Service.
AI providers — third-party AI models we use to generate estimate suggestions and proposal drafts. Content you send to AI features is processed by these providers to return a response.
Professional advisers — legal, accounting or tax advisers, where needed.
Authorities — where required by law, court order or to protect our rights.

We do not sell your personal information.

6. Data retention

We keep your personal data for as long as your account is active and for a reasonable period afterward to meet legal, tax and accounting obligations, resolve disputes, and enforce our agreements. When it is no longer needed, we delete or anonymise it.

7. International transfers

Our vendors may process data in countries outside your own, including the United States. Where required, we rely on lawful transfer mechanisms such as Standard Contractual Clauses or adequacy decisions.

8. Your rights

Depending on where you live, you may have the right to:

access the personal data we hold about you;
correct inaccurate data;
delete your data;
restrict or object to certain processing;
request a portable copy of your data;
withdraw consent where processing is based on consent;
lodge a complaint with your local data protection authority.

We use essential cookies and similar technologies required to keep you signed in and to operate the Service. We may also use limited analytics cookies to understand how the Service is used. You can control cookies through your browser settings.

11. Children

Bid Buddy is not directed to children under 16, and we do not knowingly collect data from them.

We may update this notice from time to time. Material changes will be communicated in the app or by email.
